Introduction

Public Relations Association of Uganda (PRAU) is an umbrella body for all private and public PR professionals in Uganda.

The Association is hosting the 2nd edition of the East African Public Relations Week (EAPRW) from Monday 6th to Friday 10th, November 2023 in Jinja, Uganda. The inaugural event was organized by Public Relations Society of Kenya (PRSK) in 2022 and was attended by over 1200 participants across the East Africa region. This years’ edition targets 2,000 attendees from Africa.

Hosted by the Public Relations Association of Uganda (PRAU), in partnership with the Public Relations Societies of Kenya (PRSK), Tanzania (PRST), and South Sudan (PRSSS), Democratic Republic of Congo, Rwanda and Burundi, the EAPRW will bring together practitioners from across Africa to deliberate on emerging trends and issues affecting the profession. The theme for the EAPRW is “Advancing PR Excellence as a key driver for East African Unity.”

It will be a blend of plenary and panel sessions, featuring seasoned practitioners and thought leaders drawn from across the region. The event will lend a mix of balanced opinions and insights for propelling the profession towards a gold standard and for continued success. It will further provide an ideal platform for networking at different social events.

One of the major objectives for this years’ EAPRW is to drum up support for the attainment of an observer status for the East African Public Relations Association (EAPRA) at the East Africa Community (EAC) Headquarters, and ultimately, the establishment of the East African Communications Commission at the EAC.

The EAPR Week Project Coordinator will oversee the overall project management, supervision, administration, and implementation requirements of the event with support from the PRAU secretariat and the Governing Council. S/he will maintain systems for project operations; coordinate with service providers; ensure that all procurement procedures are in line with the PRAU Procurement guidelines. S/he shall onboard sponsors from the different industry spheres and see to it that the event budget is met. S/he will establish and maintain working relationships with governmental and non-governmental stakeholders in the country to ensure their support and presence at the event. S/he will coordinate closely with the Governing Council to ensure smooth travels and accommodation for the teams coming from abroad.

The position is located in Kampala, Uganda, which falls under the PRAU Secretariat. S/he will be under the direct supervision of the Secretary General and under the overall responsibility of the Director of Programs.

Description of Duties

  • Lead the timely implementation for the EAPR Week Concept Note deliverables
  • Contribute to the raising of funds and management of the event budget
  • Identify challenges, propose solutions and action and follow-up with relevant stakeholders to expedite implementation and meet targets.
  • Ensure the availability of a rich, comprehensive program and have it shared in a timely manner
  • Organize travel and accommodation for local and international guests
  • Schedule team meetings and present on planning updates
  • Maintain close cooperation and coordination with government and other organizations in the planning and implementation of activities under the project.
  • Event management at the conference.
  • Ensure high-level communications to increase the event’s visibility at the national and international levels.
  • Perform other related duties as assigned by the Supervisor.

Required qualifications

Education: First level university degree in Mass Communication, Project Planning, Human Resources.

Experience: At least three years of experience in project management, supervision, administration, and event management.

Competencies

  • Proven capacity to initiate and implement projects including negotiation skills with governments, other corporations, industry associations, and mobilizing financial support.
  • Experience in managing events and sizable projects.
  • Ability to maintain good working relationships with all project stakeholders.
  • Ability to establish and maintain systems within project operations.
  • Ability to understand and effectively work with Government, nongovernment organizations and other organizations where PRAU has interests.
  • Good communication skills, both written and verbal, to successfully advocate for and mobilize action to promote the event.
  • Ability to lead and work in a team and good interpersonal relations.
  • Ability to work under time pressure and meet deadlines.
